Privacy policy
This policy explains how DIALE Consulting (Pty) Ltd ("DIALE", "we") handles personal information through DIANO IT, as the Protection of Personal Information Act (POPIA) requires. DIALE is the responsible party.
1. Who to contact
- Information Officer
- Name to be added
- info@diale.co.za
- Phone
- 087 265 3889
- Address
- 16 Puffback Street, Centurion, Gauteng, 0157
2. What we collect
- Your account: name, e-mail, phone, and the company you work for.
- Verifying who you are: your ID number and a copy of your ID, proof of address, company registration documents, directors and owners. If you agree to a selfie check, your photo is biometric information, which we use only with your explicit consent.
- Affordability (credit only, once offered): payslips or bank statements and your credit bureau record.
- Payments: PayFast processes your card. We receive only a reference, the amount and the outcome, never your card number.
- Orders and service: what you ordered, delivery addresses, agreements you signed, support calls, the technician's notes, photos and job cards.
- Rented and rent-to-own devices: the device's details, and location as set out in section 9.
- The website: the shop keeps your cart in your own browser. We use no advertising or tracking cookies.
3. Why we use it
- To carry out your order and agreement: delivery, installation, support and billing.
- To meet our legal duties: verifying clients (FICA), tax records, and, for credit, the National Credit Act.
- To protect our equipment and prevent fraud.
- To send you service messages. We send marketing only if you opt in, and every marketing message lets you opt out.
4. Who we share it with
- PayFast, to take payments.
- Identity, company and bank verification services, to verify you.
- Google Cloud, which hosts DIANO IT's database and files in Johannesburg, and Google Workspace, which sends our e-mails.
- Our device protection services, for rented devices.
- Couriers, insurers and vetted subcontracted technicians, only what each needs for its part of the job.
- Credit bureaus, for credit agreements only, once credit is offered.
- Regulators, courts and the police, when the law requires it.
5. Information sent outside South Africa
DIANO IT's database and files stay in South Africa. Some service providers, such as e-mail and device protection services, may process information in other countries. We use only providers bound by law or contract to protect it as POPIA does (section 72).
6. How long we keep it
- Verification documents: at least 5 years after our relationship ends, as FICA requires.
- Invoices and payment records: at least 5 years, for tax.
- Signed agreements and the activity log: for as long as the account exists, and 5 years after.
- Daily device location: 30 days.
7. How we keep it safe
- Documents are kept in a closed file store. Only verification staff can open them, and every view is logged.
- Staff, subcontractors and client administrators sign in with a password and an authenticator code.
- Every change is written to a tamper-evident activity log. Data is encrypted in transit and at rest.
- If a breach puts your information at risk, we tell you and the Information Regulator as soon as reasonably possible.
8. Your rights
You may ask what information we hold about you, ask us to correct or delete it, object to how we use it, and withdraw a consent at any time. Withdrawing consent does not undo what we did lawfully before. Write to the Information Officer. The PAIA manual explains formal requests.
9. Location of rented and rent-to-own devices
- A rented or rent-to-own device reports its approximate location once a day. We keep each report for 30 days.
- We look up a device's live location only when it is reported lost or stolen, when a payment is overdue past the notice period in your agreement, or when it is not returned at the end of the term.
- Only DIALE's fleet staff can see location, and every look is logged.
- A business that rents devices for its staff must tell them about this.
- When a rent-to-own device is paid off, we remove its protection software and stop collecting its location.
10. Children
We collect information about a student under 18 only with the consent of their parent or guardian, who holds the account.
